Transparency and trust are essential to us. On this page, you will find our Terms and Conditions (T&C), which define the framework for our services and collaboration.
Our T&C include important information about our services, contract terms, payment policies, as well as support and ticket guidelines. They are designed to set clear expectations and ensure a smooth working relationship.

Invoices will be issued either:
a. monthly, or
b. upon reaching agreed project milestones.
Customers are responsible for legal and collection costs in the case of overdue invoices. Accounts that remain unpaid after 30 days will be considered in default, and we reserve the right to remove content or access to files on our servers.
Before the project begins, an advance payment of 30% of the estimated total amount is required. This advance payment serves as security and ensures the project can start. We will begin work only once the advance payment has been received. This advance will be credited toward the final project amount. If changes occur during the course of the project that result in additional costs, these will be invoiced separately.
Both parties agree to treat all confidential information exchanged during the collaboration with strict confidentiality and not to disclose it to third parties without prior written consent from the other party. This includes, but is not limited to, trade secrets, internal strategies, unpublished designs, concepts, and customer data. This obligation remains in effect even after the collaboration has ended.
Changes beyond the agreed scope will be charged additionally. Design, content, or functionality changes that were previously approved by the client may also incur additional costs. After the design approval, up to 2 change requests will be accepted. Major changes will be evaluated based on their impact on scope and timeline and will be billed according to the effort required.
We use modern web technologies for optimal performance on current platforms. However, websites may not display identically in older browsers (e.g., Internet Explorer 8, 9, and 10).
We offer a review of the work on our staging server during development. After approval or if no feedback is received within five (5) business days, the website is considered completed and will be handed over after full payment. Clients acknowledge that CMS platforms like WordPress require regular maintenance. Proactive updates are necessary to ensure security. We offer a maintenance plan for an additional fee.
We reserve the right to display, reproduce, and distribute the designs and project results in our portfolio, as well as in other third-party publications, exhibitions, or competitions.

If stock material (e.g., images, videos, audio files) is used within the scope of the project, the contractor ensures compliance with the respective licensing terms. The usage rights for stock material may vary depending on the license. The client receives only the usage rights required for the respective project but does not acquire exclusive rights to the stock material. If extended or additional licenses are required for certain content, the client bears the applicable licensing costs unless otherwise agreed.
If videos are created as part of the content, the client receives the agreed usage rights for the produced video content but does not receive raw data or open project files unless explicitly agreed otherwise.
The client provides all relevant information, materials, and access required for the analysis. These may include, but are not limited to, existing reports, strategy documents, or market research, access to website analytics, CRM systems, or social media channels, internal company processes, or personas. All information and materials must be submitted electronically via the Pola Client Platform, email, Dropbox, or Google Drive.
Unless otherwise agreed, all information must be provided in full before the project work begins. Partial information may be accepted; however, work will not commence until all relevant content has been delivered.
Delays in providing the necessary information will impact the schedule and project completion date. We reserve the right to extend previously agreed deadlines. If the information is not provided within one (1) month after the project start, the project may be put on hold. If the information is not provided within two (2) months, the project may be canceled, and cancellation fees will apply.
If the lack of necessary information prevents progress on the project, we reserve the right to invoice for the work completed up to that point.
If additional analyses or deeper insights are requested after the project has begun, these can be provided for an additional fee. Reports or recommendations that have already been created cannot be retroactively modified.
The analysis will be provided to the client in the form of a report or presentation. If no objections are raised within seven (7) days after delivery, the service is considered accepted.
The contractor may use anonymized analysis results and methods for internal training, case studies, or portfolio presentations.
Changes beyond the agreed scope will be charged additionally. Design or content changes that were previously approved by the client may also incur additional costs.
After design approval, up to two (2) revision requests are accepted. Major changes will be assessed based on their impact on the scope and timeline, and any deviations will be billed based on effort.
We reserve the right to display, reproduce, and distribute the designs and project results in our portfolio, as well as in third-party publications, exhibitions, or competitions.
The client receives the exclusive usage rights to the created branding elements. The contractor remains the author of the designs and may use the branding in references or case studies. Raw files (e.g., editable design files) will only be provided upon a separate agreement.
If additional topics are to be covered or additional participants are to be included, this may require an adjustment of the scope and compensation.
After the workshop, the client will receive a summary of the results. If no objections are raised within seven (7) days, the service is considered accepted.
The contractor may use anonymized workshop results for internal training or portfolio presentations.
Workshop materials, presentations, and created content are protected by copyright and may not be duplicated, shared, or published without permission.
