Scope

For the Green School, we completely reimagined the digital presence – from concept and design to technical implementation. In addition to developing the website, the focus was on digitizing internal processes: we created a password-protected customer portal that integrates class schedules, course materials, and a forum for exchange. Students can also store digital ID cards directly in Apple and Google Wallet – enabling a modern, efficient way to access everyday school life.

The Green School’s booking system enables simple and transparent registration for a wide range of courses and seminars – with various dates, formats (on-site, online, or hybrid), and individually tailored conditions.


Thanks to the clearly structured interface design we developed, users can quickly find the right course and move through the booking process intuitively and without obstacles. Whether it’s a weekend seminar or a months-long training program, availability is shown in real time, and a built-in waitlist automatically notifies participants if spots become available.


This makes course booking not only functional, but also an integral part of the Green School’s thoughtfully designed user experience.

In the secure login area, students will find everything they need for their daily course routine – clearly organized, centralized, and accessible at any time. All booked courses are visible there, including detailed course information, participant lists, downloads, and helpful links. Integrated course forums enable direct communication with fellow students and instructors.


Bookings can be managed or canceled independently, without any detours. Personal data can easily be updated by the users themselves, and the digital student ID is available directly for Apple and Google Wallet.


This creates a central, secure space that organizes, connects, and significantly simplifies everyday learning – accessible anytime, from anywhere.

Smart Timetable Management


The integrated scheduling tool ensures clear structures and efficient workflows in day-to-day teaching. Class sessions can be created quickly and linked directly to the relevant subject, class, available room, and assigned instructor – resulting in a clearly organized, digitally managed timetable with minimal effort.

Instructors are automatically notified of new or updated sessions and can easily confirm or decline them within the system. At the same time, students have constant access to their up-to-date course schedule – clearly structured and always current in their personal login area.


All changes to the schedule are visible in real time, ensuring no information is lost or overlooked. Centralized management provides the admin team with full oversight at all times – whether for planning, coordination, or last-minute changes.

The Green School relies on the self-hosted automation platform n8n to efficiently, securely, and GDPR-compliantly manage central administrative processes. Numerous workflows – from course bookings and cancellations to invoice dispatch, dunning, and automated handover to accounting – run fully digitally without manual effort. Waitlists are also intelligently managed: as soon as a spot becomes available, replacements are notified automatically.


After a course ends, participants are automatically invited to provide feedback. The system also notifies users of new course materials and downloads – all without any action required from the admins.


All processes are traceable, audit-proof, and can be flexibly adapted or expanded. The platform is hosted locally and meets the highest standards for data protection and IT security. This creates a digital infrastructure that saves time, reduces errors, and frees up resources for what really matters: quality education.

Invoices, credit notes, attendance certificates, and diplomas – all important documents are automatically generated, securely encrypted, and made available in the personal login area. Invoices and credit notes are automatically generated, assigned, and directly transferred to Lexoffice – ensuring seamless, preparatory accounting. This integration guarantees error-free data transfer and saves valuable administrative time. This way, the focus stays where it matters most: on training and supporting the students.

Zoom Recordings Automatically Made Available


Online lessons are recorded and then automatically uploaded to the corresponding course section – securely, organized, and without any manual steps. This allows students to review or deepen the material anytime, directly within their personal login area.

The system automatically detects eligibility for discounted student prices or if a seminar can be booked free of charge – for example, as part of a funding program. Pricing is calculated dynamically, taking all relevant factors into account in real time.


With a fully integrated checkout, every booking runs smoothly – from selection to payment. This creates a seamless process that saves time for everyone involved while ensuring maximum clarity.

Flexible Installment Payments – Individually Manageable


For selected courses, the Green School can enable installment payments and set individual terms – such as the number of installments, payment intervals, and interest rates. Interest is automatically calculated and added to the total price. Each installment, including its due date, is recorded in the internal ERP system – ensuring maximum transparency and easy tracking.

Secure and Convenient Payments – Powered by Mollie


By integrating Mollie as the payment provider, the Green School offers a modern and reliable payment processing system. Users can pay using various methods such as SEPA direct debit, credit card, PayPal, or instant bank transfer – directly within the booking process and fully secured. This integration ensures fast transactions, automatic payment confirmation, and seamless connection to the existing system.
